Administrative Assistant

JOB SUMMARYThe administrative assistant is responsible for the day to day office operations of Habitat Saskatoon, reception and bookkeeping. 

KEY RESPONSIBILITIES:

  • Receiving and directing all phone calls
  • Preparing and distributing office correspondence (letters, invitations, media releases, etc.)
  • Sorting and distributing incoming mail; ensuring outgoing mail is delivered/couriered
  • Bookkeeping using Simply Accounting
  • Receiving and managing tenant issues; coordinating bookings of Habitat Board room
  • Preparing bank deposits and entering ReStore daily totals
  • Answering and directing general inquiries from walk-ins and phone calls
  • General office maintenance (ordering supplies, etc.)
  • General data entry
  • Assisting with event coordination (organizing on-site and office events such as barbecues)
  • Filing
  • Entering donations and preparing tax receipts and “thank you’s” to supporters
  • Some website management
  • Changing greeting tables, voice mail greetings, and phone settings on Nortel
  • General governance board correspondence and taking minutes at board meetings
  • Taking notes/minutes at meetings when requested by Executive Director

REQUIRED SKILLS AND ABILITIES:

  • Verbal, written and problem solving skills
  • Excellent computer skills
  • Ability to work effectively with volunteers
  • Bookkeeping skills – knowledge and skill with Simply Accounting will be an asset
  • People skills
  • Organizational skills
  • Networking skills
  • Ability and skill to use the Microsoft Office Suite – Publisher, Excel, Word, Outlook

SALARY
The salary is negotiated with the Executive Director, commensurate with qualifications and skills.
